Executive Office Use Policy

This policy establishes the conditions for lawful, safe and professional use of the Fleurs executive office and meeting space at SHOPS AT CHAMPS FLEURS, LP 202 Eastern Main Road, Trinidad and Tobago.

1. Purpose and scope

The space is provided solely for the professional purpose confirmed in the applicable booking, rental or licence agreement. This policy applies from the time access is granted until all persons and property associated with the booking have left the premises.

The person or organisation named on the agreement is responsible for its employees, contractors, visitors, guests and invitees.

2. Authorised professional use

  • Office, administrative, consultation, interview, training, planning and lawful business-meeting activities approved by Fleurs.
  • Use only during the confirmed date, time and access period.
  • Accurate representation of the renter’s identity, business, purpose and expected attendance.
  • Compliance with all written booking conditions, building rules and reasonable safety or security directions.
No address authority is implied. Rental or booking does not authorise a customer to use the premises or Fleurs’ address as a registered office, mailing address, place of business, banking/KYC address, licensing address or official branch location unless Fleurs gives specific written permission.

3. Strictly prohibited use

The premises must not be used for:

  • Any unlawful, fraudulent, deceptive, indecent, threatening or illicit activity.
  • Storage, warehousing, stockpiling, sleeping, residential occupation or overnight use.
  • Possession, consumption, manufacture, distribution or facilitation of illegal drugs, unlawful weapons, stolen property, counterfeit goods or prohibited materials.
  • Money laundering, scams, false investment activity, identity misuse or activity intended to conceal the origin, ownership or movement of funds or property.
  • Unapproved sales events, parties, public entertainment, gambling, food production, medical procedures, hazardous processes or high-risk demonstrations.
  • Subletting, assignment, resale of access or allowing any unauthorised person to use keys, codes or entry credentials.
  • Smoking, vaping, open flames, fireworks, explosives, flammable liquids, corrosives, compressed gases or hazardous substances.
  • Conduct that is discriminatory, abusive, harassing, violent, disruptive or likely to damage the reputation, safety or lawful operation of Fleurs or the property.

4. Access, visitors and capacity

  • The maximum meeting-room capacity is 12 persons unless a lower limit is stated in writing.
  • The customer must maintain an accurate attendee list when requested and must not admit unknown or unauthorised persons.
  • Emergency exits, corridors, doors, stairs, fire equipment and access points must remain unobstructed.
  • Children must be continuously supervised. Animals are not permitted except where required by law or approved in advance.
  • Fleurs may enter the premises where reasonably necessary for safety, emergency response, inspection, maintenance or suspected policy breach.

5. Care of premises, equipment and information

  • No fixtures, furniture, cabling, signs, locks, walls or equipment may be moved, altered, attached to or tampered with without approval.
  • The customer must promptly report damage, spills, defects, loss, injury, security concerns or malfunctioning equipment.
  • Confidential information and personal belongings remain the customer’s responsibility. Sensitive material must not be left unattended.
  • The space must be returned on time, free of customer property and in the condition in which it was received, allowing for fair wear and tear.

6. Breach, suspension and costs

Fleurs may refuse entry, stop an activity, remove access, end a booking or rental, contact property management or notify the appropriate authorities where there is a safety concern, material misrepresentation, suspected unlawful conduct or significant breach. Emergency action may be taken without prior notice.

The customer may be responsible, subject to the signed agreement and applicable law, for damage, excessive cleaning, missing items, unauthorised overtime, security response or other loss caused by the customer or persons admitted under the booking.

Immediate danger or suspected criminal activity: leave the area if safe to do so and contact the Trinidad and Tobago Police Service or other emergency service. Do not confront a suspected offender.
